This policy sets out the basis on which any personal information we collect from you, or that you provide to us, will be used by Roxburgh Milkins Limited.

We’re a law firm so we’re pretty conservative about how we use your information. Some general principles we follow are:

  • If you are a customer, we mainly use your data to do our job - to verify your ID and to contact you in the context of delivering our services;
  • If you are a prospective customer, intermediary or other contact, we may send you information about the firm or contact you, for example, to arrange meetings or make introductions;
  • We only share data with third party service providers who help us to deliver or services and we will only share information in a secure and compliant way;
  • We don’t do much marketing and if we do, it will be carefully thought through and targeted; and
  • We may occasionally send you a newsletter/legal update.

Roxburgh Milkins Limited of Merchants House North, Wapping Road, Bristol, BS1 4RW ('we' or 'us') are a data controller for the purposes of the General Data Protection Regulation (EU) 2016/679 (‘GDPR’) and any subsequent UK data protection legislation (‘Data Protection Legislation’) and we are responsible for, and control the processing of, your personal information.

Information we collect and hold

We will only collect and hold information that you provide to us (such as your name, address, email, telephone number, ID (e.g. passport) etc.).

If you give us information on behalf of someone else, you confirm that the other person has appointed you to act on his/her behalf and has agreed that you can:

  • give consent on his/her behalf to the processing of his/her personal data;
  • receive on his/her behalf any data protection notices; and
  • give consent to the transfer of his/her personal data in accordance with this policy.

Use of information

We will use the information we hold about you in the following ways:

  • to carry out our obligations arising from any contracts entered into between you and us

  • to provide you with information, products or services that you request from us or which we feel may interest you; and
  • to keep in touch with you generally, for example, if you are an intermediary we work with.

We may need to allow third parties to process your  data  in the following circumstances:

  • if you are a client or a potential client, we may need to pass on your details to a third party for credit control purposes;
  • if we consider it appropriate to carry out checks on you for the purpose of our compliance with the Proceeds of Crime Act 2002, Terrorism Act 2000 or Money Laundering Regulations 2007;
  • if you are a client or a potential client, to third parties (such as third party solicitors or other professional advisers) who are engaged or might be engaged to provide services to us in connection with a service we are delivering to you;
  • if you are a client or a potential client, to third parties (such as third party solicitors or other professional advisers) who you may engage direct to provide services to you; or
  • where third parties are providing services to us which allow us to provide our services to you.

Legal basis for processing your data

We may process your data because:

  • we are legally obliged to e.g. to confirm your identity;
  • the processing is necessary for the performance of the contract with you to provide our services; or
  • it is in our legitimate business interests to do so.

In some instances, we will rely on your consent to process personal data and where we do this, it will be flagged to you at the time.

Where we store your personal data

Your data is mainly stored and processed on secure servers in the European Economic Area ("EEA"). We will occasionally process your data outside of the EEA (for example when using certain third party services) but will only do so if appropriate safeguards are place in accordance with Data Protection Legislation.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

How long do we keep your personal data?

We keep your personal information for as long as we need to for the purposes for which it was collected or (if longer) for any period for which we are required to keep personal information to comply with our legal and regulatory requirements.

Your rights

You are responsible for ensuring that information you provide to us is accurate, complete and up-to-date. You have a number of rights in relation to your personal data, these include the right to:

  • find out how we process your data;
  • request that your personal data is corrected if you believe it is incorrect or inaccurate;
  • request that your personal data is deleted;
  • obtain restriction on our, or object to, processing of your personal data;
  • if we are relying on consent, you can withdraw your consent to our processing of your personal data (including any direct marketing);
  • if we are relying on legitimate interests for direct marketing, you can object to receiving such direct marketing;
  • obtain a copy of the personal data we process concerning you. Once we have received a request and verified your identity we will respond as soon as possible and in any event within one month; and
  • lodge a complaint with the UK supervisory body, the Information Commissioner’s Office (the ICO) here. If you have a concern or complaint about the way we handle your data, we ask that you contact us in the first instance to allow us to investigate and resolve the matter as appropriate.

We may send marketing emails to our customers where we believe we have legitimate interests for doing so. When we do so, we will communicate the legitimate interests to you.  If you wish to unsubscribe from any particular mailings, please email us with the word "unsubscribe" in the subject box of your message.

We reserve the right to change this policy at any time. Any such changes will be effective once posted on this page.
